Who we are

Virtual Sports Integrated for Entertainment Company ("we", "us") is the controller of the personal data described in this policy. We organise robot combat competitions in Saudi Arabia and other locations.

What we collect and why

We collect your first and last name, email address and message through our contact form and subsequent correspondence. We use this information to respond to your enquiry, contact you about your interests or requests, discuss potential cooperation relating to our activities, and follow up on those discussions.

Submitting an enquiry is voluntary. Your email address and a message are required so we can understand and respond to it; your first and last name are required so we know how to address you. Without the required information, we cannot process your enquiry through the form.

We rely on your consent to process this information for your enquiry. If you separately opt in, we also use your name and email address to email you about our future events and opportunities to work with us in Saudi Arabia and other locations. This additional consent is optional and does not affect our response to your enquiry.

Who receives your data and where it is processed

Authorised members of our team use your data for the purposes above. The following external entities also receive or process it to the extent necessary for their specified roles:

Our team's processing locations: China. The locations listed here identify whether your data is stored, accessed, disclosed or otherwise processed outside Saudi Arabia. Any transfer outside Saudi Arabia is subject to applicable Saudi personal data transfer requirements.

Storage and retention

We store your data in our electronic enquiry records and correspondence systems, using access restrictions and appropriate technical and organisational safeguards. Storage providers and locations are identified above.

We keep enquiry records for as long as needed to handle your enquiry and any resulting discussions about potential cooperation, and for no longer than 12 months after our last substantive exchange. If you opt in to future opportunity emails, we keep your name, email address and subscription preferences until you unsubscribe or until 24 months have passed without you renewing your interest, whichever occurs first.

We delete data earlier if it is no longer needed or you withdraw the consent on which its processing depends. We may retain specific records where a law requires retention or they are required for pending judicial proceedings, as permitted by Article 18 of the Saudi Personal Data Protection Law. We restrict those records to that purpose and delete them when the retention requirement ends. Data due for deletion is securely erased from our systems, including backups, and relevant service providers are instructed to delete their copies.

Your choices and rights

Under the Saudi Personal Data Protection Law, you may ask to be informed about our processing, access your personal data, obtain a readable copy, correct or complete it, and request its destruction, subject to applicable legal exceptions. For example, access may be limited to protect another person's rights, and destruction may be deferred where retention is legally required.

You may withdraw consent at any time by emailing us at the privacy contact email above. Withdrawal does not affect processing lawfully carried out before it. If you withdraw consent for handling your enquiry, we will stop the processing based on that consent and may be unable to continue the discussions. To stop future opportunity emails, use the unsubscribe link in any such email or reply asking us to stop. Unsubscribing from those emails does not end an enquiry you are actively pursuing.

To exercise your rights or raise a privacy complaint, email at the privacy contact email above. Requests are free of charge unless the law provides otherwise. We may verify your identity and will act on rights requests within 30 days. Where legally permitted, we may extend this by up to 30 additional days and will explain the reason in advance. You may also complain to the Saudi Data & AI Authority (SDAIA) through its National Data Governance Platform.
